Data Protection Compliance Statement

MWC complies with all requirements under EU Data Protection laws, including GDPR. Our approach is summarized below, followed by an outline of our operational procedures regarding data handled within the organization.

Summary of Data Protection Practices

  • Secure Storage: All personal data is stored securely.
  • Relevant Contact: We will only contact individuals with relevant content and information pertaining to their status and relationship with us.
  • No Third-Party Sharing: Data is never passed onto third parties except for the purpose of carrying out shipments or deliveries.
  • Data Breach Notification: We will notify individuals within 24 hours if a data breach occurs.
  • Access to Personal Data: Upon request, we will provide details of any personal data we hold within five days.
  • Data Deletion: We will delete personal data upon request, except for data required for legal purposes (e.g., financial records).
  • GDPR Compliance: We strive to maintain compliance with GDPR at all times.

Data Handling Procedures

Clients

Existing Clients: Client data is retained to deliver products or services, keep clients updated on opening hours, product details, service and support details, and promotional information. Data is held for three main purposes:

  1. Service or product delivery
  2. Information updates related to the service or product delivery
  3. Promotional incentives and new services

Potential Clients: Potential clients are those who have initiated contact regarding becoming a client. Data is held for:

  1. Potential service delivery
  2. Information updates related to service delivery
  3. Promotional incentives and new services

Staff

Current Staff Information: Data on current staff is held for recruitment, employment, emergency contact, and role performance purposes.

Potential Staff Information: Data from individuals who have inquired, applied, interviewed, or been offered a position is retained for processing potential employment. This data may be used to inform past applicants of new opportunities unless deletion is requested.

Ex-Staff Information: Data related to former employees is held for supplying references to future employers. Emergency contact data is deleted upon the staff member's departure. Upon leaving MWC, all access to internal and remote systems is rescinded, and passwords and office access details are changed.

Former staff must confirm that they hold no data belonging to or under the custodianship of MWC and that all client, supplier, and staff contact data has been deleted.

Calls

All calls into and out of MWC systems may be recorded to confirm instructions, address details, and for quality assurance and customer service purposes. Calls are not recorded for data mining, collection, or other uses.

If a request to delete all information held on an individual is made, we will endeavor to comply, though locating all relevant calls may require significant resources, and success cannot be guaranteed.
